What you choose to share.

The demo-request form asks for your full name, work email address and organisation, and for you to confirm that you are happy for us to use those details to reply. You can also tell us where you sit in media, which systems interest you, how you would like us to reply (email, phone or WhatsApp) and anything specific you would like covered. Those extra details are optional.

When you send the form we also record a receipt reference, an identifier that lets us recognise a retry, the time it arrived, the time you confirmed your consent, the page it was sent from and the status of any email notification. Please do not include passwords, confidential client records or sensitive personal information — a general description is enough.

Why we need it.

Your details let us reply to your request and arrange a relevant walkthrough. We also keep limited anti-abuse records (described below) to stop spam and duplicate submissions. Sending the form does not subscribe you to a newsletter or create an account.

Where your request goes.

Your request is saved in a private database on a server we operate. Only the people who run the site can read it, using private administrative tools; there is no public list, receipt lookup or dashboard. The team can also make private exports or backups, which are taken into account if you ask us to delete your request.

Email notification to the team is a separate setting. When it is switched on, a message containing what you submitted is sent to our enquiry mailbox through our email provider, with your address available for a reply. When it is off, the team reads requests directly from the database. The form does not send you an automatic confirmation email.

If you choose to continue on WhatsApp, or send an email yourself, that conversation is handled by the service you use — WhatsApp, or your and our email providers — under their own terms.

Your browser and connection.

This website does not set cookies of its own and does not use analytics services or advertising tools. On its marketing pages it remembers one preference in your browser’s local storage — whether you chose light or dark mode — and nothing else. Fonts, scripts and images are all served from this website; its pages make no requests to third-party servers. The one exception is the office map on the home page: it is loaded from Google Maps only if you choose “Show map”, and until then no request is made to Google.

Like any website, the servers and networks that deliver this one receive ordinary connection information, such as your IP address, the page requested and browser headers. For the demo form, our enquiry service turns your IP address into a one-way hashed key to limit spam and never stores the address itself. Its own logs record only a receipt reference and an event name, not your name, email address or message.

Following the “Log in” link takes you to our sign-in page, which only directs you on to the product you choose. Signing in happens on that separate service, whose data practices are outside this notice; this website never asks for or stores your password. While you sign in, our workspace page keeps a sign-in token in your browser’s session storage for as long as it is valid; it is cleared when you sign out or close the tab.

Keeping your information.

We keep each demo request for 12 months (365 days), then it is deleted automatically, unless the team has flagged it to keep — for example because we have started working together. You can ask us at any time what we hold about you and to remove it sooner; copies in email notifications, private exports or backups are dealt with as part of that request.

To ask for access, correct what you submitted, withdraw your consent, request deletion or raise a privacy question, email hello@themediavault.io. Include your receipt reference if you have one and the email address you used, so we can find the right record. Please do not send identity documents unless we have explained why they are needed.

POPIA.

THE MEDIAVAULT is based in South Africa and handles personal information in line with the Protection of Personal Information Act, 2013 (POPIA): we collect only what we need for the purpose described above, tell you how it is used, keep it secure, do not keep it longer than necessary, and honour your right to access, correct or delete it. Our address and contact details are in the footer of every page. If you are not satisfied with how a request has been handled you may also contact the Information Regulator (South Africa).
